How does the gear get to Seattle?
By freight, in road cases, to the venue or a receiver. The event manager lands at Sea-Tac the day before and sets up about two hours before doors. Equipment-only kits ship by FedEx with the games loaded.
What does the venue need to give us?
6 by 6 feet per headset station or seated simulator, 8 by 8 for Walk the Plank and the home run derby, one standard outlet per station. Most experiences run without Wi-Fi, which matters in a convention center.
Is there downtime between players?
Not much. A turn is two to five minutes, the event manager cleans the headset while the next person is being briefed, and ERW’s note above was about exactly that.
Can your staff run it, or do we?
Either. Full service brings an event manager who sets up, runs the line and packs out. Equipment-only leaves the running to your team.

ERW Lighting and Controls booked our flight simulator for their Seattle event in September 2026 and had attendees flying over the city itself. Their note: “The event went great! The Flight Sim was a hit, there didn’t really seem to be a lot of downtime… it stayed pretty busy.”
Two months earlier, in July 2026, Salesforce booked a full-service setup in Seattle: one event manager, a simulator and three Quest headsets. Before that, an Okta event at the Renaissance Seattle in November 2025 and a Workforce Go event in January 2026, both staffed.
Seattle is a fly-in market: cases ship to the venue or a receiver, the event manager lands at Sea-Tac the day before, and the simulator is set up and calibrated about two hours before doors. We plan for the Seattle Convention Center, the downtown hotels, the South Lake Union offices and the Bellevue and Redmond campuses.
What we bring to Seattle
Four Seattle jobs, four different line-ups, which is the point: the flight simulator for ERW, a simulator plus three headsets for Salesforce, staffed headset stations for Okta and Workforce Go. Nationwide virtual reality rental is the same catalogue; Seattle just books more of the simulators.
Headsets: Meta Quest 3 and Apple Vision Pro. Seated rigs: the flight simulator, the racing simulator and VR golf. Standing: the home run derby, Walk the Plank and the Virtuix Omni treadmill, which needs a dedicated attendant and a room with ceiling height.
VR headset rental has the headset setups for a trade show, a conference or a company party. VR booth rentals for trade shows shows the trade show version, and packages lists what each tier includes.
Seattle, the Emerald City
Seattle sits between Puget Sound and Lake Washington, and the Space Needle, built for the 1962 World's Fair, still draws the crowds. The Woodland Park Zoo covers 92 acres, the Museum of Flight holds more than 150 aircraft, and the Mariners, the Seahawks, the Storm and the Sounders fill the stadiums south of downtown.
Our flight simulator has flown attendees over this exact skyline: ERW Lighting and Controls booked it for a September 2026 event, and Salesforce ran a simulator plus three Quest headsets with one event manager that July. Send the venue and the headcount and we will say whether the simulator fits the room.
