VR flight simulator rental for trade shows, conferences and company events
The flight simulator is one seat, one stick and one headset, and it is the piece of gear that gets people lining up before the show floor opens. Your guest sits in the pilot seat, we hand them the headset, and thirty seconds later they are banking over the city the event is in. We fly a realistic mode (a Cessna or an airliner over real terrain, so a Seattle crowd flies over Seattle), a combat mode with dogfights, and a sci-fi mode for anyone who wants a spaceship instead. Most people fly for three to five minutes, which is the right length for a booth or a cocktail hour.
It ships as a full-service rental: the seat and stick, the headset, the VR computer, the themed table sign and runner, and an event manager who sets it up, runs the line and packs it out. The premium package adds a fabric backdrop, branded headset decals, a branded leaderboard on its own TV and a branded seat base, which is what most trade show clients take. You need a 6 by 6 foot footprint and one standard outlet; Wi-Fi is only needed for some of the flight modes and we tell you in advance. Where the flight simulator has flown
ERW Lighting and Controls, Seattle, September 2026. One flight simulator station at a client event, with attendees flying over Seattle itself. ERW Lighting and Controls afterwards: “The event went great! The Flight Sim was a hit, there didn’t really seem to be a lot of downtime, it stayed pretty busy.”
Plum Media, Milwaukee, August 2024. Two flight simulators with two event managers, two weeks running, with the pilot’s view fed to a projector and cut against GoPro footage of the person flying. Plum Media: “The addition of the virtual reality simulators to this event was just fantastic. We really enjoyed being able to take the feed from the VR view and switch it with GoPro footage of them playing. We used a projector for a larger screen. VR flight simulator rental: the questions we get asked
How much does it cost to rent a VR flight simulator?
It is priced by the day, not by the number of people who fly, and the price depends on how many stations you want, how many days, whether you take the premium branding package and where the event is. Send the date, the venue and the crowd size through the form on this page and you will get a quote for the whole setup, staff and travel included.
How long does set-up take?
Plan on two to three hours before doors for a full-service booking. The event manager builds the seat, calibrates the headset and computer, loads the flight mode you chose and tests it. Pack-out is under an hour.
How much space and power does it need?
A 6 by 6 foot footprint per station and one standard 110V outlet. If you add the leaderboard TV, allow a little more depth. Wi-Fi is needed for some flight modes only, and we confirm that when you book.
Do guests need to know how to fly?
No. The event manager gets each person seated, shows them the stick and throttle, and they are airborne in under a minute.
Which flight is best for a trade show?
The realistic mode over the host city is the crowd-pleaser, because people stop to watch the screen and recognise the skyline. Combat mode draws a younger, louder line.
